Do You Need PCard Approval to Pay Journal Fees?

Yes, you do! Follow these quick steps to ensure a smooth and compliant process.

Step 1: Submit Your Manuscript

📄 Use the DOE-funded Journal Article Submission Form (https://forms.gle/AY1AwnrvU2NUJAkPA) 

  • Fill in all required metadata fields and upload your manuscript.

  • After submission, you’ll receive an OSTI ID number within 24 hours.

Step 2: How to Request Advanced Approval (AA)

For most specialized purchases (such as STI/OSTI publication fees), you must submit an Advance Approval (AA) Form. [1]
  1. Obtain Required Information: Depending on your purchase, you may need specific documentation beforehand. For publications, this includes your OSTI ID number generated through SLAC's .
  2. Submit the Form: Fill out the required Advance Approval request form and submit it for your manager's signature.
  3. Send for Processing: Email your approved AA form to PCard@slac.stanford.edu.
  4. Make the Payment: Once you receive a stamped or processed AA approval back, you can proceed with using your PCard.
